These Terms and Conditions ("Terms") govern the use of NAATI certified translation services provided by International Study Solutions (ISS), a division of Gi.Vi. Holdings Ltd, through our network of translation service websites (collectively, "Website").


These Terms apply specifically to NAATI translation services and do not cover other services provided by ISS or Gi.Vi. Holdings Ltd.

1. Definitions

  • "Provider": Gi.Vi. Holdings Ltd, Company Number 15830977, registered at 12-16 Lionel Road, Canvey Island, England, SS8 9DE
  • "Customer" or "You": Any individual or entity requesting translation services
  • "Services": NAATI certified translation services and related document processing
  • "Documents": Original documents submitted by Customer for translation
  • "Translation": Certified translation of Documents completed by NAATI certified translators
  • "NAATI": National Accreditation Authority for Translators and Interpreters (Australia)

2. Service Description

2.1 Services Offered

The Provider supplies NAATI certified translations performed by officially accredited NAATI translators.

The Provider acts as intermediary between customers and certified translators but does not perform the translation work directly.


Translation services are available for the following document types, including but not limited to:

  • Identity documents (passports, identity cards, driver's licenses)
  • Civil status certificates (birth, marriage, death, divorce certificates)
  • Educational documents (diplomas, transcripts, certificates)
  • Medical certificates
  • Criminal record certificates
  • Legal documents
  • Any other documents

2.2 Translation Standards

All translations are performed by Official NAATI certified translators and include:

  • Accurate translation of source document content
  • NAATI certification stamp and translator details
  • Translator's signature and certification number
  • Date of translation

2.3 Naati Certification and Acceptance

NAATI (National Accreditation Authority for Translators and Interpreters) certification is the official Australian standard for translation quality and is specifically designed to ensure acceptance by Australian government institutions, universities, and other official bodies.

NAATI certified translations are widely recognized and accepted internationally, though acceptance standards may vary by country and institution.


IMPORTANT CONSIDERATIONS:

  • Australian institutions: NAATI certified translations meet the requirements of Australian government departments, educational institutions, and professional bodies
  • International use: While NAATI translations are widely recognized globally, final acceptance is at the discretion of the receiving institution in each country
  • Document condition: Translations can only be performed on clear, legible, and complete source documents. The Provider cannot translate damaged, illegible, or incomplete documents
  • Timeliness: Customers are responsible for ordering translations with sufficient time to meet their deadlines. Acceptance of documents by institutions may depend on submission deadlines, not translation quality
  • Document handling: Customers are responsible for maintaining translations in good condition and submitting them according to the requirements of the receiving institution



The Provider warrants that all translations are performed by accredited NAATI translators and meet NAATI certification standards, but cannot guarantee acceptance decisions made by third-party institutions, which are beyond our control.

3. Ordering Process

3.1 Quote Request

  1. Customer submits quote request through our secure, encrypted contact form, providing:
  2. Contact information (name, email, phone)
  3. Documents to be translated (uploaded securely via the form)
  4. Any specific requirements or instructions
  5. Provider reviews documents and provides quote within 1-2 business days

3.2 Order Confirmation

A binding contract is formed when the Customer accepts the quote and completes a payment.

3.3 Document Requirements

Customer must provide:

  • Clear, legible copies or scans of documents
  • Complete documents (all pages if multi-page)
  • Documents in supported formats (PDF, JPG, PNG)
  • Any specific instructions or requirements

Important: Customer is responsible for ensuring documents are complete, legible, and suitable for translation. Provider reserves the right to refuse translation of unsuitable documents.

If we receive documents that are unclear, damaged, or incomplete, we will contact you promptly and provide guidance on how to:

  • Improve scan quality (resolution, lighting, focus)
  • Photograph documents correctly
  • Provide missing pages or information

We are committed to helping you prepare suitable documents for translation. Only in cases where a document cannot be made legible through any means will we be unable to proceed with the translation. In such cases, we will issue a full refund.

4. Pricing and Payment

4.1 Pricing

  • Prices are quoted per document and confirmed before order acceptance
  • Prices are in Euros (EUR)
  • Prices include NAATI certification and electronic delivery (PDF)
  • Standard delivery: Secure download link sent via email (with time expiration link)
  • Physical copies: Available upon request at additional cost. Physical documents are shipped from Australia via insured courier. Shipping costs are quoted separately and added to the translation price.
  • Rush service (if available) may incur additional fees

Note: Electronic PDF copies are accepted by the vast majority of institutions and authorities worldwide. Physical copies are rarely necessary.

4.2 Payment Methods

Accepted payment methods:

  • Credit/debit card payments (primary method)
  • Bank transfer: Wire transfer (exceptional cases only, upon request)

4.3 Payment Terms

  • Payment is required in full before translation work begins
  • Quotes are valid for 15 days from date of issue
  • No refunds after translation work has commenced unless Provider fails to deliver service

4.4 Recurring Customer Discounts

Customers who have previously used our services may be eligible for discounts at Provider's discretion. Discount eligibility and amount are determined on a case-by-case basis.

5. Delivery

5.1 Delivery Method

Completed translations are delivered electronically via secure download link sent to the email address provided by Customer.


The download link:

  • Is sent via email once translation is complete
  • Provides access to your certified translation in PDF format
  • Remains active for 30 days from delivery
  • Is secure and accessible only to you



You are responsible for downloading and saving your translation within the 30-day period.

5.2 Delivery Timeframe

Target delivery: Most translations are completed within 24-48 hours of payment confirmation. We successfully achieve this timeframe in approximately 98% of cases.


Standard delivery timeframe: 3-5 business days from payment confirmation.


Actual delivery time may vary depending on:

  • Current workload and number of pending translations
  • Document complexity and length
  • Translator availability
  • Public holidays in Australia (where translators are located) and UK (where the company is based)


We will inform you immediately if we anticipate any delays beyond our standard timeframe. Rush service may be available upon request for urgent translations.

5.3 Delivery Confirmation

Delivery is deemed complete when the email containing the secure download link is sent to the Customer's email address.


Customer is responsible for:

  • Providing a valid, functioning email address with sufficient storage space
  • Maintaining access to the email account (password, account recovery)
  • Checking spam/junk folders
  • Downloading and securely storing translations before link expiration
  • Notifying Provider immediately via our support channels (by replying to any email communication from us, submitting this contact form, or via live chat where available) if email is not received or cannot be accessed.

5.4 Re-delivery

If Customer loses or deletes translation email:

- Within 30 days of original delivery: Re-delivery is free upon request

- After 30 days: Re-delivery may be charged at Provider's discretion, or Customer may need to reorder translation at discounted rate


Re-delivery to the same email address:

If the re-delivery request comes from the same email address used for the original order, we will resend the download link immediately without additional verification.


Re-delivery to a different email address:

If the Customer requests re-delivery to a different email address (e.g., due to loss of access to original email account), we require identity verification to protect your privacy and prevent unauthorized access. Complete this contact form and request a privacy correction data by providing your ID document.


We will verify your identity and resend the translation to the new email address within 24 hours of verification.

Delivery is deemed complete when the email containing the secure download link is sent to the Customer's email address.


Customer is responsible for:

  • Providing a valid, functioning email address with sufficient storage space
  • Maintaining access to the email account (password, account recovery)
  • Checking spam/junk folders
  • Downloading and securely storing translations before link expiration
  • Notifying Provider immediately via our support channels (by replying to any email communication from us, submitting this contact form, or via live chat where available) if email is not received or cannot be accessed.

6. No Right of Withdrawal - Immediate Service Commencement

By completing payment, you expressly request that translation work begins immediately.


Custom translation services:

  • Work starts immediately upon payment confirmation
  • Your document is assigned to a NAATI translator within hours
  • Translator begins translation work without delay
  • Once work has commenced, costs are incurred and cannot be recovered

Waiver of withdrawal rights:

In accordance with consumer protection laws (EU Consumer Rights Directive Art. 16(m), UK Consumer Contracts Regulations Reg. 36), you acknowledge and agree that:

  • You waive your right of withdrawal
  • No refunds are available once payment is completed
  • This applies regardless of work completion status

This policy applies globally to all customers.

Cancellation before translator assignment:

In the rare event that we have not yet assigned your translation to a translator, you may request cancellation for full refund.

Contact us within 2 hours of payment.

7. Intellectual Property

7.1 Ownership of Documents

  • Customer retains all rights to original documents
  • Provider acquires no ownership rights to Customer's documents

7.2 Ownership of Translations

  • Customer receives full rights to use translations for their intended purpose
  • Translator retains copyright in translation as creative work under Australian law
  • Customer may not resell, redistribute, or commercially exploit translations without translator's consent

7.3 Website Content

All content on the Website (text, graphics, logos, images) is the property of Provider or its licensors and is protected by copyright and intellectual property laws.

8. Warranties and Liability

8.1 Provider's Warranties

The Provider warrants that:

  • Translations are performed by qualified NAATI certified translators
  • Translations accurately reflect the content of source documents
  • Services are provided with reasonable care and skill

8.2 Translation Quality and Institutional Acceptance

Provider warrants that:

  • All translations meet NAATI certification standards
  • Translations are performed by accredited NAATI translators
  • NAATI certification is the official Australian standard specifically designed for acceptance by Australian institutions (as detailed in Section 2.3)

Institutional acceptance:

While NAATI certified translations are widely recognized and accepted globally, final acceptance decisions are made by the receiving institution and are beyond the Provider's control. Factors affecting acceptance may include the institution's specific requirements, submission deadlines, or internal policies.


The Provider cannot be held liable for acceptance decisions made by third-party institutions, government authorities, or other entities.

8.3 Limitation of Liability

To the maximum extent permitted by law:

  • Provider's total liability for any claim arising from these Terms shall not exceed the amount paid by Customer for the specific service giving rise to the claim
  • Provider is not liable for any indirect, consequential, special, or incidental damages
  • Provider is not liable for visa refusals, application rejections, or any consequences of third-party decisions
  • Provider is not liable for errors in source documents or information provided by Customer

8.4 Consumer Rights

Nothing in these Terms excludes or limits liability for:

  • Death or personal injury caused by negligence
  • Fraud or fraudulent misrepresentation
  • Any liability that cannot be excluded under applicable law

9. Customer Obligations

Customer agrees to:

  • Provide accurate, complete, and legible documents
  • Provide truthful contact information
  • Respond promptly to Provider's requests for clarification
  • Use translations only for lawful purposes
  • Not hold Provider responsible for consequences of third-party decisions
  • Comply with all applicable laws regarding document use

10. Confidentiality and Data Protection

10.1 Confidentiality

Provider agrees to:

  • Keep all Customer documents and information confidential
  • Use documents solely for the purpose of providing translation services
  • Implement appropriate security measures to protect Customer data

10.2 Data Protection

Processing of personal data is governed by our separate Privacy Policy, which forms an integral part of these Terms.

10.3 Document Retention

Documents and personal data are retained in accordance with our Privacy Policy and applicable legal obligations.

11. Force Majeure

Provider is not liable for delays or failures to perform due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters
  • Acts of government or authorities
  • War, terrorism, or civil unrest
  • Internet or telecommunications failures
  • Translator unavailability due to illness or other emergencies

In such cases, Provider will notify Customer and make reasonable efforts to complete the service or offer a refund.

12. Complaints and Disputes

12.1 Complaints Procedure

If you are dissatisfied with our services:

  1. Contact us by:
  2. Replying to any email communication from us
  3. Submitting our contact form
  4. We will investigate and respond within 30 days
  5. If issue relates to translation accuracy, we will review with translator and provide corrected translation if error is confirmed

12.2 Governing Law and Jurisdiction

These Terms are governed by the laws of England and Wales.

For Business Customers:

Disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.


For Consumer Customers (EU/UK):

Nothing in these Terms affects your statutory rights under the consumer protection laws of your country of residence. You may bring proceedings in your country of residence or in England and Wales.


International Customers:

If you are located outside the UK/EU, you agree to submit to the jurisdiction of the courts of England and Wales, unless mandatory laws in your country provide otherwise.

13. General Provisions

13.1 Entire Agreement

These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between Customer and Provider.

13.2 Amendments

Provider reserves the right to modify these Terms at any time. Changes will be effective:

  • For new orders: Immediately upon posting updated Terms on Website
  • For existing orders: Terms in effect at time of order apply

13.3 Severability

If any provision of these Terms is found invalid or unenforceable, the remaining provisions remain in full force and effect.

13.4 Waiver

Failure by Provider to enforce any right under these Terms does not constitute a waiver of that right.

13.5 Assignment

Customer may not assign or transfer rights or obligations under these Terms without Provider's written consent. Provider may assign these Terms without restriction.

13.6 Language

These Terms are available in multiple languages. In case of discrepancy, the English version prevails.
